Moving your studio off WhatsApp groups (without losing your mind)
How Indian photography studios can stop running weddings on dozens of WhatsApp groups: what to move first, what to keep on WhatsApp and how to bring the team along.

Every studio starts on WhatsApp. It is fast, everyone already has it, and clients are there. By the fortieth group, though, things start slipping: who confirmed the sangeet? Which version of the shot list is the latest?
Keep WhatsApp for conversation
WhatsApp is great for talking. The problem is using it as your calendar, your crew list, your contract and your delivery tracker. Keep chatting there; move the records out.
Move these first
- The calendar: one place with every session, venue and time.
- Crew: who is on each session, who said yes, who has not answered.
- Proposals and bookings: what the couple chose and signed, with the price.
- Delivery dates: what is promised and when.
Bring the team along
Photographers will not open a new app unless it helps them on shoot day. Give them something better than scrolling a group: their own jobs, call times, venue maps and contacts on their phone, even without network.
Do it at the start of a season
Do not switch in the middle of December. Start with new bookings, and let the old ones finish where they are.
Still share on WhatsApp
Clients love WhatsApp. Share proposal and gallery links there; the link opens a proper page instead of a PDF that gets lost in the chat.
In ShotSync
Every job has its sessions, crew, gear, tasks and messages in one place. Proposals and galleries are links you can send on WhatsApp, and each team member sees only what they need.
