How to fill in a call sheet

  1. 1

    Name the event and date

One sheet per session: haldi, sangeet and the wedding each get their own, because times, venues and crew change.

  2. 2

Add the venue and a map link

Write the full address with the gate and a landmark, and paste a Google Maps link so nobody calls to ask the way.

  3. 3

    Set the call times

Crew call comes before the client is ready. Add the ceremony start, meal break and wrap so everyone knows the shape of the day.

  4. 4

List the crew and their roles

Name, role, phone and individual call time for each photographer, videographer and assistant.

  5. 5

    Add contacts on the day

The family point of contact, venue manager and planner, with phone numbers.

  6. 6

Write the gear list and notes

Bodies, lenses, lights, batteries and cards; then parking, dress code, meal times and any “no flash” rules.

  7. 7

Print or save as PDF and share

Print it, or choose Save as PDF in the print window and send it on WhatsApp the evening before.
