A missing battery charger in Udaipur is not a small problem. Use this list, and check every item out and back in.

Cameras and lenses

  • two bodies per photographer, plus one spare for the team
  • the wide zoom, standard zoom and telephoto zoom
  • a fast prime for low-light rituals
  • a macro for rings and mehendi details

Light

  • on-camera flashes with diffusers, one per photographer plus a spare
  • two off-camera lights and stands for stage portraits
  • a small LED panel for the cinematographer

Power

  • at least four batteries per body, charged the night before
  • chargers for every battery type, and a multi-plug extension
  • power banks for phones; call sheets live on phones

Storage and backup

  • enough cards for the whole function, never reformatted until backed up twice
  • a laptop or card reader and two portable drives
  • a simple rule: cards go to one person at the end of each function

Drone and video

  • the drone, spare propellers and batteries, plus any permission the venue needs
  • gimbal, microphones, spare cables

Travel

  • padded bags, with the expensive kit in hand luggage
  • a printed list of serial numbers
  • rain covers for outdoor functions

Track who has what

Before travel, check every item out to the person carrying it. When the crew returns, check each item back in and note any damage. In ShotSync each item has a QR label; scan it on the phone to check it out or in, and the job shows which gear is booked.
